Wodventures Terms and Conditions

Upon booking and payment of your deposit, you hereby agree to the following Terms and


Payment Policy

To book your place on a Wodventures trip, you are required to pay a strictly non-refundable

deposit upon booking.

Full payment is required 45 days before departure, unless otherwise stated.

Payment of outstanding balance, minus your deposit is required via 2x instalments

prior to your departure.

  • 1st Payment : 50% of your outstanding balance is required 30 days following payment

of your full deposit

  • 2nd Payment: Outstanding 50% of balance to be paid 45 days prior to your departure

date (unless another agreement has been approved)

*We offer guests the option to pay via monthly/weekly installments leading up to the due date.

Please contact us if you have any questions regarding payment.

If you cannot attend your trip due to illness, injury or other arrangements, Wodventures offers

three options to guests:

  1. Trip Transfer - If a guest is unable to attend, they will be allowed to transfer their payment

(minus your deposit) as credit to a future trip. The credit total shall be determined as per the cancellation timings listed below.

  1. Replacement - Guests also have the option to find a replacement to take their spot, in

which case they shall be refunded the total amount paid, minus the non-refundable deposit.

  1. Refund - If guests are not able to find a replacement or transfer their credit to an alternative

retreat, they will be refunded as per the below guidelines, minus the non-refundable deposit

plus cancellation fee. Refunds are determined based on when you choose to cancel your trip.

A cancellation fee of AUD$100.00 is applicable to all cancellations.

* Deposits and cancellation fees are valued in the currency in which your retreat is priced.

Some retreats are priced in USD, whilst others are in AUD.

If guest chooses to cancel their trip:

Deposits are always non-refundable in case of trip transfers,or cancellations.

Cancellation fees also apply in the event of a cancellation.

Refunds & Cancellation Policy

  • 90 days or more prior to the departure date: a refund of 50% of your total payment,

minus the total deposit.

  • 89 – 60 days prior to the departure date: a refund of 25% of your total payment,

minus the total deposit.

  • 59 days or less prior to the departure date and you will forfeit your entire payment,

including the total deposit.

Wodventures Cancellation Policy

Wodventures reserves the right to cancel or postpone any scheduled retreats due to

extremes of weather or changes to operational conditions such as road closures, flood

danger, fire bans or other conditions beyond the control of Wodventures or the third party

operator engaged to conduct the trip. Wodventures reserves the right to cancel or postpone

any scheduled retreats if the minimum number of required guests is not met for that specific

retreat. Every effort will be made to transfer your paid retreat to an alternative Wodventures

retreat at a later date. You may be entitled to a full refund where applicable if a transfer is not

suitable. Wodventures cannot provide compensation for any other costs incurred by the

traveller in preparation of the retreat (including flights),outside of the paid packaged price.

Flight Bookings

It is compulsory to ensure all tickets booked by guests are either refundable or transferable in

case of the unlikely event that the scheduled trip may be cancelled or postponed. In the case

of a guest missing or changing their flight, Wodventures is not liable for the financial

implications of such a decision made on part of the guest.


Transfers are only inclusive within the dates of the said retreat. If a guest arrives or departs

outside the start/end date of a retreat, Wodventures is not liable for their organisation or cost

of their transport in the destination of the retreat. Wodventures does not accept responsibility

for any airport transfers/connecting flights to or from a guest’s nominated destination.

Travel Cancellation Insurance

Wodventures strongly recommends you consider purchasing Travel Cancellation Insurance,

which may assist in covering a portion of the trip’s cost in the event of a cancellation. It is not

guaranteed that this insurance will cover the entire cost of the trip.

Travel Insurance

It is compulsory and a responsibility of all Wodventures guests to ensure they have travel

insurance before departing on their trip. No guests will be eligible for travel without the

required insurance. Wodventures cannot be held liable for any financial or personal loss

associated with not acquiring the appropriate insurance before you are due to depart.

Wodventures offers guests the option for Wodventures to acquire Travel Insurance on behalf

of guests. This cost will be added to the total package price.

Wodventures Vouchers

All vouchers issued by Wodventures are strictly valued in AUD only. Vouchers must be

presented in order to be redeemed. Vouchers can only be applied to a single trip. Vouchers

are for single use only.

Passports, Vaccinations and Visas

Wodventures is not responsible to ensure the appropriate visas and vaccinations are

arranged before your departure. This is the responsibility of the traveller to ensure all

preparations around the validity of their passports, entry requirements for the nominated

destination and visas are seen to. All guests are required to have a valid passport for travel.

Rights to Photographic or Film Material

Wodventures reserves the right to use any photographic or film material collected throughout

the duration of the Wodventure retreat, for commercial purposes. Wodventures does not

require written consent from you and is not required to provide any form of compensation to

you for using materials gathered on the trip. By agreeing to these Terms and Conditions, you

hereby agree and give permission for Wodventures to use any film or photographic material

free of license.

Disclaimer of Liability

Wodventures shall not be responsible for any injuries, death, damages, or losses caused to

any traveller in connection with any terrorist activities, social or labour unrest, mechanical or

construction failures or difficulties, diseases, local laws, climatic conditions, criminal acts or

abnormal conditions or developments, or any other actions, omissions, or conditions outside

the control of Wodventures. Wodventures cannot be held responsible for any injury or death

sustained during activities that is the direct result of the client or travellers’ own actions.

All travel related services and activities that are provided by external suppliers during the

duration of the trip including air, ground transportation, hotel accommodations, cruises, gyms

etc, are considered third parties, and separate to Wodventures and outside of our

responsibility. We therefore shall not be responsible for any loss, damage, delay or

complaints associated with them.

General Waiver

By voluntarily participating in all activities on your Wodventure retreat, you thereby surrender

your right to cause of action against Wodventures arising from any personal injury, damage,

death or loss of property during the course of the trip.

Schedule Changes

All listed activities in each retreat itinerary is subject to change due to weather conditions and

other external factors. If an activity is cancelled, an alternative activity shall be arranged to

compensate. Scheduled timed or day of various activities may also differ from the itinerary

due to external circumstances.

Privacy Policy

Wodventures shall have access to personal information by virtue of your booking, however

Wodventures will only use and disclose your personal information in accordance with its

Privacy Policy.

  • Wodventures shall retain your personal information, including your name, your

address, your telephone number and email.

  • Your personal information shall be stored on the Wodventures database. You will

only receive promotional material if you have given permission for Wodventures to

do so.

  • Wodventures does not disclose personal information to 3rd parties unless required to

be law.

  • Wodventures shall take the necessary steps to protect your personal information from

any unauthorized access.
